Out of scope infringement *

In daily logistics operations, it is sometimes necessary to move a truck over short distances, for example on company premises or in the workshop. In such cases, the tachograph’s “Out of Scope” function offers a solution. When used correctly and properly documented, this prevents unjustified violations in trip registration.

What is “Out of Scope”?

“Out of Scope” means that a trip falls outside the scope of the tachograph regulations. This applies, for example, to moving vehicles on closed premises or during maintenance. These movements are not recorded as regular driving time. Please note: it is not a general exemption and may only be used under specific conditions.

When can you use it?

The “Out of Scope” mode is allowed under specific circumstances, including:

  • Moving vehicles on private premises.

  • Workshop movements, for example during maintenance or inspections.

  • It may not be used by a driver who was already on duty that day. The vehicle may only be moved by other staff members, such as workshop or warehouse personnel.

How to avoid problems

Although “Out of Scope” use is permitted, it is essential to record it accurately to avoid misunderstandings during inspections:

  • Always document who performed the movement and why.
This can be done digitally, for example via the task manager in your software (such as the Roadsoft platform), or manually.

  • Save tachograph data and include an explanation.
If you work manually, print an overview of the movement and note on paper who moved the vehicle, including date, time, and reason.

  • Ensure that drivers and staff clearly understand when “Out of Scope” can and cannot be used.
Incorrect use — such as the same driver who drove in the morning and then moves the vehicle without the card in the afternoon — can still lead to a violation.

Conclusion

Correct use of “Out of Scope” prevents unnecessary registrations and potential violations, provided it is properly applied and documented. With clear internal agreements and a tight administrative process, you stay in control and avoid misunderstandings during inspections.
